SETTING UP POSTMASTER
The only time consuming part of setting up Postmaster is writing or deciding what messages
to use for your follow up.
You don't have to do it all on your own.
Where to get information to make your message series.
1) Your outgoing email box. Think of all the writing you have done to individual contacts.
Use this information!
2) Your existing sales letters, ad copy, website copy and follow ups.
3) Any company where you're selling their products will be happy to share their ad copy
and follow up messages.

THE 5 STEP PROCESS
Amico, here's a detailed look at the Postmaster 5 Step Process. We recommend you print
this message so
you can refer to it when you need to. You can also get assistance by pressing your F1 key
for the help contents for
each button.
Step One:
User Information USER INFO BUTTON
(This step you probably have already done.)
1) Signature line.
The easiest way to add a signature line to all of your E-Mail is to do it once. This is
the place to
do it, and it will be automatically added to the bottom of each message you send. You must
fill in your email address here as well. The other fields you can use as you would like.
2) Mail Server Information
Be sure to put your correct ISPs SMTP outgoing mail server address along with your
ISP email
as a return address. Depending on your ISP you may be able to use any return email address
you want.
Choose the SMTP radio button and also select your dial up account your using at the
bottom.
Step Two:
Edit Categories Button
You have to choose and store all your Categories names here. Later each category/type can
be
pulled up in the "edit messages" screen to add your message series you want to
send automatically.
In Database Marketing your Categories, how you group and track your Internet prospects and
customers,
are what it is all about. Categories are the way you look at your contacts through your
database.
Add all the Categories you want to have a message series for. Be sure to have one main
category so
most of your contacts can hear a little about all the products and opportunities you offer
automatically!
Step Three:
Edit Messages Button
Review some of our sample training messages by choosing Postmaster as the category and
Distributor
as the type. Notice how the message numbers are done. P- Prospect and D- Distributor, with
a three digit
numbering sequence. Keep in mind you can use the message wizard to set up your whole
series as well.
We always start with P110 with the next message P120. This way you can go back and add
messages
in before your introductory message and between your other messages.
*** For templates see edit messages main menu button.
Choose "Postmaster" as the category and
"distributor" as the type.
Be sure to have ALL the fields filled in. The three digit message numbers (with a P,D,U
prefix like P110, P120,
P130...), next message numbers ("done" for the last message in the series),
message subject and days to
the next message, even for the last message.
Select the Datasheet View anytime to get an overall picture of your message numbers and
days to next
message. Then switch to Form View to look at each message before you send it. Check out
the Message Wizard to send any announcement to an entire category or group of categories
instantly.
Choose "Immediate Message" and follow the steps.
Keep in mind if you sort A to Z the "msg num" column before sending you will
see the exact order your
messages go out. This way if Postmaster gets hung up on a bad email address you can delete
using shift+Alt to highlight and delete the bad address along with all the other messages
sent already above that one.
Test all messages to yourself before sending them out.
Amico in the body of text will add all contacts first names to the messages.
BUT BE SURE TO USE THESE CHARACTERS { } SHIFT BRACKETS, NOT THESE [ ]
THEY ARE FOR DEMONSTRATION PURPOSES ONLY.
You can now MAIL MERGE any of these fields. Also put any information you want into these
fields in your contact
records, up to 52 characters.

Step Four:
New Contact Button (The meat and potatoes of Postmaster.)
Now that you have created a category(s) and have a series of messages ready be sure to add
yourself as
a test contact. Add yourself into each category/type that you have messages ready and send
them to yourself. To do this go to messages sent tab and check all the send boxes, click
"post messages" that will go to the "send messages" form.
Finally click "de-select all" and go to the send messages form to send them.
Check your email and look at them over
very closely and make any corrections to your copy before you send them out.
Ok, now your ready to add your contacts.
Copy and paste your Customer, Trainee or Prospect information into the fields provided and
add them into
as many categories you want. From the blue section you can add and delete them from any
category or (message series) with a click of the mouse. Be sure to choose the category and
the subcategory type that have your message series ready to go from the drop down box.
To maneuver through your contact database use the
Before searching be sure to remove any filters and click "view all contacts".
Also filter, sort and search any record field! You can even filter by category, a very
helpful feature.
If your personalizing your messages with the code firstname enclosed with shift+brackets {
} then be sure to add something to the first name and last name field. Friend or something
similar in the first name field and at least a period .
In th last name field.
In the email address field be sure you put in only the email address that's it. If you get
a message saying you
are creating a duplicate value. This means your trying to add an email address that's
already in your database.
YOU MUST highlight the email address first and delete it. Then you can delete the
contact record and continue.
Start them out today with the first of a unique series of messages designed to build
lasting relationships and
residual sales.
Add another Category for the same contact and begin them on that message series
automatically, the first time
they ask about another specific offer.
Pick a date in the "NEXT DATE TO CALL" and Follow-up and Follow Through when you
are scheduled to call them
back.
Keep notes in the NOTES TAB about the important points of your Internet prospects needs
and strengths, then
Follow-up and Follow Through.
Check the MESSAGES SENT TAB to see what E-Mail has been sent to the current contact and
when. Post any
message out of sequence to be mailed immediately as well.
Send an IMMEDIATE MESSAGE to any contact and check the EMAIL HISTORY TAB to view ALL
messages
sent to any contact.
Use the ADDITIONAL INFO TAB for physical address and additional phone numbers for a
contact. Also choose if you want snail mail messages generated and not an email message or
both.
Step Five:
Send Messages Button
Now you'r all set! You can turn on the engine.
The SEND MESSAGES BUTTON has (2) functions:
1. Add all of the messages in the database that are ready to be sent today with your
signature line and the addressees name imbedded in the message and subject line, just hit
the
(GENERATE MESSAGES BUTTON).
2. If you posted messages out of sequence from the MESSAGES SENT TAB or from an
unscheduled send form the EDIT MESSAGES
BUTTON they will be here ready to send as well.
The powerful GENERATE/SEND MESSAGES BUTTONS that reduce all of your E-mail FOLLOW-UP to
the push of
two buttons. It records into the EMAIL HISTORY and MESSAGES SENT areas of your Postmaster
to track all your email history for your contacts. Kewel Huh?
If your send stops on encoding attachments this means your PC is having trouble connecting
to your mail server.
Verify you are using the correct address.
Example: mail.server.com
Amico, that is Postmaster. Put people in one end of your Postmaster and when they
come out the other end they have all of the information they need to make an intelligent
decision to buy your products. Other contacts are motivated and trained as well.
